Chatbots and Knowledge Search

We connect chatbots to the knowledge base, CRM, and order system. For internal teams, we build search across policies, contracts, and correspondence. Answers are checked on client materials before rollout.

When you need this

  • Support cannot keep up with a stream of repetitive questions
  • Employees spend too long searching internal documents
  • Inbound requests are sorted manually and get lost
  • Your product needs document search or an in-product assistant

What's included

  • Customer chatbots: knowledge base answers, order statuses, escalation to an agent
  • Employee assistants: search across policies, contracts, and internal documents
  • Inbound request processing: classification, data extraction, routing
  • Architecture selected around cost, speed, and data requirements
  • A client-infrastructure hosting option where requirements call for it
  • Answer quality control: regular checks, metrics, refinement

Process

How we work

  1. 01

    Initial conversation

We clarify the context, arrange a call, and sign an NDA before materials are shared if needed.

  2. 02

    Preliminary assessment

We review the process, data, and existing systems, then prepare an approach and sequence of work.

  3. 03

    Plan and contract

We describe the first milestone: the work, the acceptance result, and the required time and budget.

  4. 04

    Pilot and development

The first milestone may validate the riskiest part. The remaining work and acceptance process are stated in the plan.

  5. 05

    Launch and support

We run acceptance and transfer milestone deliverables after payment. Documentation and training are included when the client needs them.

More about the process

Post-launch support

We fix warranty defects for three months after delivery. Ongoing support, monitoring, and development are covered by a separate agreement.

Questions and answers

What determines the architecture?

Document volume, acceptable response time, hosting requirements, and operating budget. These parameters are agreed before the pilot.

Will the bot make up answers?

An answer is based on retrieved document fragments and includes a source link. If there is no suitable material, the bot says so or hands the request to an agent. Quality is checked on a prepared set of questions.

What about confidentiality?

Before the pilot, we agree on document storage and which services may process them. Client-infrastructure hosting feasibility is checked during assessment.

How long does it take?

A pilot takes six to ten weeks. Connecting live systems, configuring permissions, and rollout usually take several more months. The exact plan depends on document condition and the number of integrations.
