Process Automation
We set up processing for scans, emails, and documents in different formats. Data is extracted, checked, and passed to the record system; disputed cases go to an employee.
When you need this
- →Employees manually transfer data from documents into systems
- →Requests get lost between email, messengers, and CRM
- →The process depends on one person who "knows how it works"
- →Growing volume forces you to hire people for routine operations
What's included
- Inbound document processing: recognition, data extraction, reconciliation with your ERP
- Sorting and routing of requests, emails, and tickets
- Connecting systems: 1C, CRM, email, messengers
- Multi-step workflows with checkpoints for employees
- Automated reports and notifications
- Process dashboard: volumes, automation rate, errors
Process
How we work
- 01
Initial conversation
We clarify the context, arrange a call, and sign an NDA before materials are shared if needed.
- 02
Preliminary assessment
We review the process, data, and existing systems, then prepare an approach and sequence of work.
- 03
Plan and contract
We describe the first milestone: the work, the acceptance result, and the required time and budget.
- 04
Pilot and development
The first milestone may validate the riskiest part. The remaining work and acceptance process are stated in the plan.
- 05
Launch and support
We run acceptance and transfer milestone deliverables after payment. Documentation and training are included when the client needs them.
Post-launch support
We fix warranty defects for three months after delivery. Ongoing support, monitoring, and development are covered by a separate agreement.
Questions and answers
How is this different from regular automation?
Rules work well with consistent forms and completed fields. Here, incoming material can vary in structure, so recognition and confidence checks are added to the rules.
What happens with non-standard cases?
They go into a manual review queue with the original document and extracted fields. The pilot shows what share of the flow can pass without employee involvement.
How do we know it will pay off?
We need operation volume, manual handling time, error cost, and exception rate. From these figures, we calculate the current process cost and compare it with the implementation budget.
Do you integrate with 1C and custom systems?
Yes. If an API exists, we connect to it. Older systems can use scheduled exports, file exchange, or a mail gateway.
